Become a Member and Save Money on Registration

Meetings Industry Professionals and Suppliers:
Becoming a PCMA member (from $360 USD for Professional Members/$485 USD for Supplier Partner Members) can save at least $335 USD on the 2009 PCMA Annual Meeting registration fee! To become a PCMA member click here.

Deadlines

Thursday, December 11, 2008 by 5:00 p.m. (EST) - Deadline for regular registration & discounted PCMA housing rate

Higher fees will apply after Thursday, December 11, 2008 and on-site.  Mailed registrations must be RECEIVED by Thursday, December 11, 2008 to qualify for regular registration fees.

Thursday, December 18, 2008 - Deadline for registration refunds (less processing fees).

Important Information

  • Most educational sessions do not require tickets.  Seating is on a first-come, first-served basis.  Many optional sessions, activities and events will be ticketed and applicable tickets will be included in credentials on-site.
  • Pre-meeting workshops, PCMA Experientials, and Community Service Events and Activities require additional fees; please indicate session/event choice and include fees.
  • PCMA Registration is not responsible for faxes not received due to mechanical failure or circumstances beyond our control.
  • Due to the volume of forms received, PCMA Registration cannot confirm receipt of faxed or mailed forms.
  • Acknowledgements of housing reservation request will be sent after each reservation form is received/processed, as well as each time a reservation is modified/changed and/or cancelled. For online registration/housing, acknowledgement is immediate.  For faxed/mailed forms, acknowledgements will be sent within 2 business days of completion of processing.  Please review acknowledgements carefully for accuracy. If you do not receive an acknowledgement within 14 days of submission, please call the PCMA Housing Bureau at 800.220.3839 (U.S & Canada) or 847.996.5886 (International).
  • Housing Reservations are processed on a first-come, first-served basis.  Availability may be limited at hotels.
  • NEW THIS YEAR: Housing Reservations will ONLY require a credit card number guarantee.
  • All hotel room rates are subject to applicable state and local taxes in effect at the time of check-in (currently 13% - plus $3 per night occupancy tax - subject to change without notice).
  • PCMA discounted room rates are applicable January 8 – 17, 2009, subject to availability.
  • A portion of the room rate is used to offset the expense of housing services.

Change/Cancellation/Refund Policy

  • New in 2009: Attendee replacements by another PCMA Member who is a business colleague or co-worker will be accepted; a $50 USD processing fee will apply to all requests until Thursday, December 11, 2008 by 5:00 p.m. EST.  A $75 USD processing fee will apply to all requests after this date and on-site.  Attendee replacement must complete the full registration and housing forms with written request by the replaced attendee.
  • Written requests for Annual Meeting registration cancellations/refunds must be postmarked on or before Thursday, December 18, 2008.  All Annual Meeting registration cancellations/refund requests received by Thursday, December 18, 2008, will be refunded registration fees paid less a $125 USD processing fee.  Refunds for pre-meeting workshops and optional ticketed sessions purchased are subject to a $25 USD (each) processing fee in addition to any applicable Annual Meeting registration cancellation/processing fee. Executive Edge registration only cancellations are subject to a $75 USD processing fee.  Guest cancellations are subject to a $50 USD cancellation processing fee.  There are no refunds for charitable events (Hospitality Helping Hands and Party With a Purpose).  No refunds will be granted after Thursday, December 18, 2008.  No refunds will be given for no-shows.  Note to ACOM one-day registrants: Due to the discounted registration fee, if cancellation occurs at any time, no refund will be granted to ACOM registrants attending one day of the PCMA Annual Meeting.
  • Hotel reservation changes and/or cancellations to another hotel within the PCMA room block will be accepted until Thursday, December 18, 2008 by accessing your registration/housing record on the website or via the PCMA Housing Bureau in writing via e-mail at pcma@experient-inc.com and will be assessed a $25 USD processing fee.  Changes and/or cancellations and rebooking of a reservation will be accepted by the hotels beginning Friday, December 26th and only based on availability.
  • Cancellations for all PCMA participating hotels must be received a minimum of 72 hours prior to arrival.  A $50 USD non refundable processing fee may be automatically charged to the credit card on file by the hotel for cancellations within 72 hours of arrival and no shows.

Payment

Full payment must be received with registration forms.  Checks must be drawn on a U.S. bank in U.S. funds. Make checks payable to: PCMA/Experient.  Check payment is accepted with mailed registration and housing forms ONLY.  One check may be used to pay for registration fees and housing deposit.  Credit card payment is accepted for registration online, via fax and via mail.  Cards accepted include American Express, Visa and Master Card.  Registrations must include full payment to be processed.  NEW THIS YEAR: Housing Reservations will ONLY require a credit card number guarantee.

Badges

Attendees registering in advance may pick up badge and registration materials at the Advance Registration desk at the NOMCC during hours indicated above for On-Site Registration. Please note that photo ID will be required to pick up badges/materials.  Students must show valid student identification in order to pick up badges/materials if registered at the student rate.  Attendees will not be allowed to pick up other attendee badges/materials.
